What the 3CX AI Personal Assistant is
The 3CX AI Personal Assistant is a per-user virtual assistant — a boss-and-secretary model — that screens your inbound calls: it understands why someone is calling, checks trusted contacts, enforces your availability rules, collects messages, and passes through only the callers who are relevant or approved. It is generally available (GA) today as part of the 3CX AI Edition.
The core Personal Assistant shipped in V20 Update 8 (Final, February 2026) and is now a stable member of the 3CX AI Agents family alongside the AI Receptionist. An executive can designate one or more secretaries to screen their calls, and screening can be switched off automatically for known, trusted numbers already in the phonebook.
Unlike the AI Receptionist, which serves the whole organization at the first point of contact, the Personal Assistant works at the level of the individual: it is a gatekeeper for one specific manager or executive, deciding — by your rules — who gets through, when and how. That is the core of what we set up for each leader in your organization.

What the Personal Assistant actually does
Native 3CX capabilities (AI Edition) that we tune per user:
Inbound call screening
It answers the call, understands the reason in natural language, then decides — by your rules — to put it through, take a message or redirect it elsewhere.
Trusted contacts
Known, trusted numbers in the phonebook are passed straight through without screening, while everyone else is checked before reaching you.
Availability rules and blocking
It enforces your availability rules and blocks unwanted or irrelevant transfers, easing nuisance calls and interruptions across your day.
Message and detail capture
When a caller is not put through, it captures the reason and details and leaves you a structured message, so you follow up on what matters when it suits you.
Urgent-call handling
3CX introduced an Urgent-handling option in a later (U9-line) update that can help prioritize critical calls — reportedly by detected keywords, subject to your installed update. The exact behaviour and availability are confirmed during design.
Call-screening notifications
It sends notifications for specific screening scenarios so you stay informed — this does not mean a notification on every call; the scope is set during configuration.

Personal Assistant vs AI Receptionist — and how it works
Both are native 3CX AI Agents within AI Edition, but they serve different audiences. The AI Receptionist is the first point of contact for the whole organization: it greets callers, understands intent, routes them to the right department or queue and answers common questions. The AI Personal Assistant works at the level of the individual: a gatekeeper for one specific manager or executive, screening their own calls by their own rules.
The simple rule: choose the AI Receptionist when you want to automate the organization’s front desk and route everyone; choose the Personal Assistant when you want to protect one person’s time and screen their inbound calls. Often the two work together — the Receptionist handles the organization while the Personal Assistant guards the leader’s gate.
On how it works: the Personal Assistant is a native 3CX feature (AI Edition), but its natural-language understanding relies on OpenAI via your organization’s own API key (bring-your-own-key). It is configured from the Admin Console: trusted contacts, availability rules, screening behaviour, the delegated secretary, and urgent handling where available. ECOLOR’s role here is correct setup: enabling AI Edition, connecting the OpenAI key and setting a usage cap, shaping the screening rules and messages, and training your team — so the experience is reliable from day one.

06 · Requirements and privacy
Requirements and data privacy — honestly, no overstatement
To run the AI Personal Assistant, your organization needs the 3CX AI Edition (the edition that bundles the AI feature set) and a funded OpenAI account with your own API key; the conversational language understanding runs through OpenAI and is billed by OpenAI directly — it is not a free feature inside 3CX. The simultaneous-call (SC) tier and pricing are confirmed in an official quotation per project.
On privacy, the bring-your-own-key model means language-understanding calls pass through your organization’s OpenAI account under its terms; we help you understand this flow and make an informed decision. We make no compliance guarantee — we do not make your organization automatically compliant with any regulation or authority — but we provide sound setup and operating practices that support your governance efforts.
We also do not overstate spam blocking: the assistant applies screening and availability rules and blocks unwanted transfers where supported, which greatly reduces interruptions, but it is not an absolute network-level spam-blocking system. We describe capabilities as they are, with details and responsibilities defined in the official solution documents.
