01 · Definition

What are 3CX AI Agents?

3CX AI Agents are a family of AI-driven agents built into the 3CX system that answer, screen and route calls and chats and retrieve company information from Knowledge Sources you build. All agents run within the same 3CX system, and each is assigned a specific role and behaviour. The framework has been generally available (GA) since V20 Update 8, and it requires the 3CX AI Edition plus your organization’s own OpenAI API key.

The conversational agents are powered by OpenAI through your own account — you ‘bring your own key’, and OpenAI bills the model usage directly, not 3CX. This is a core cost and governance point that we explain honestly during design.

The current stable line is V20 Update 9 (Final). Update 10 is Alpha for evaluation only (announced July 2026) — it introduces the AI Customer Service Agent, the standalone AI Server, the MCP Server and Programmable Extensions. We present none of these as production-ready.

02 · Release status

What is available now vs. in evaluation

As of August 2026, the current stable line is 3CX V20 Update 9 (Final). Generally available for production on the AI Edition: the AI Receptionist, the AI Personal Assistant, and Knowledge Sources, plus call transcription, summaries and sentiment analysis.

The AI Customer Service Agent, the standalone AI Server, the MCP Server and Programmable Extensions were released by 3CX under Update 10 as Alpha — for testing and evaluation only, not for production. ECOLOR can set up evaluation and pilot environments today, and move to production once they reach a stable release. We track the roadmap and keep you informed.

AI Receptionist (GA)

First point of contact for inbound calls: greets callers, understands requests in natural language, answers common questions, captures details and routes to the right department — in many languages. Native 3CX.

AI Personal Assistant (GA)

A per-user ‘boss and secretary’ assistant: screens calls, checks trusted contacts, enforces availability rules, blocks unwanted transfers and passes only approved callers through. Native 3CX.

Knowledge Sources (GA)

Your company data — FAQs, policies, product guides, troubleshooting steps — feeds the agents so they answer accurately. Best split by topic, not by size. Native 3CX.

Routing & human escalation

The agent attempts to resolve first, then escalates to a person, a queue or a more specialised agent when the caller asks or when it cannot resolve. Admins configure escalation topics. Native 3CX.

Customer Service Agent (Alpha)

Automates first-line (L0/L1) support from Knowledge Sources and escalates to humans when needed. Released by 3CX under Update 10 as Alpha — evaluation only, not for production.

The three agents compared — and how they work

The three agents share the same framework, the same OpenAI engine and the same Knowledge Sources, but differ in role. The AI Receptionist (GA) is the public front door for inbound calls: it greets, routes and answers general questions. The AI Personal Assistant (GA) is per-user on a ‘boss and secretary’ model: it screens one specific person’s calls, enforces their availability rules and blocks unwanted transfers. The AI Customer Service Agent (Alpha) targets first-line support: it answers from Knowledge Sources and escalates to humans — but it is still Alpha, for evaluation only.

How it works: a caller connects → the agent answers and understands intent via OpenAI (on your key) → it answers from Knowledge Sources or performs an action (route, schedule, capture details) → it escalates to a human agent or queue when needed. Admins set roles and escalation topics from the Admin Console.

The core distinction (which we never blur): the AI Agents above are native 3CX features. What ECOLOR adds — design, deployment, integration, training and support — is a professional service. The ECOLOR AutoConnect platform and ECOLOR’s custom voice agent are not part of native 3CX; they integrate with it. We never present an ECOLOR-developed feature as a native 3CX capability.

08 · Security, privacy & requirements

Data flow and requirements — honestly

Requirements: the 3CX AI Edition and your organization’s own funded OpenAI API key (the conversational agents rely on OpenAI, and usage is billed by OpenAI, not 3CX; low-tier accounts can be rate-limited). Nothing on the conversational side is ‘free’, and we make that clear at design time.

Data flow: when you use the conversational agents, conversation content is sent to OpenAI via your key for processing. Transcription, summaries and sentiment analysis can run in the cloud (OpenAI Whisper / Grok) or locally on the standalone AI Server — but that standalone server is still Alpha, for evaluation. Cloud transcription sends recordings for processing and then deletes them.

Governance: we help align the setup with your governance and data-residency policies, and hosting location and data-residency options are confirmed during solution design. We make no compliance guarantees — we do not say the solution ‘makes you PDPL- or SAMA-compliant’, but that it ‘supports your governance and compliance efforts’. Nor do we guarantee absolute readiness, security or availability.

What languages are supported?
3CX describes the agents as ‘understanding and speaking many languages’ via OpenAI and routing in multiple languages, which suits the bilingual Saudi and GCC environment (Arabic and English). The exact language list is not officially enumerated, and we confirm the coverage you need during design.
What about security and data flow?
The conversational agents send conversation content to OpenAI via your key for processing. Transcription and summaries can run in the cloud or locally on the standalone AI Server (currently Alpha). We help align the setup with your governance, without making compliance guarantees.
