What is the 3CX AI Agents umbrella?
“AI Agents” is the collective name 3CX gives to its conversational, OpenAI-powered agents that live inside the phone system. The umbrella framework and its first two agents (AI Receptionist and AI Personal Assistant), together with Knowledge Sources, went generally available (GA) in V20 Update 8 (Final), and the current stable line is V20 Update 9 (Final). Every AI Agent shares the same foundations: they run within your 3CX system, they are configured from the Admin Console, and they draw on Knowledge Sources to answer accurately.

AI Receptionist — the front door (GA)
The AI Receptionist is the first point of contact for inbound calls. It greets callers, understands their request in natural language, routes them to the right department, answers common questions, captures caller details, can help schedule meetings, and filters spam or irrelevant calls. It understands and speaks many languages, which suits bilingual Arabic-and-English reception in the GCC.
- Who it is for: the whole organisation — anyone who dials your main number.
- Job: inbound reception, triage and routing at scale.
- Status: GA since V20 Update 8 (Final).
AI Personal Assistant — the gatekeeper (GA)
The AI Personal Assistant follows a “boss–secretary” model. It is a per-user assistant that screens incoming calls for a specific person — typically a manager or executive. It checks trusted contacts, enforces availability rules, blocks unwanted transfers and spam, collects messages, and only passes relevant or approved callers through. Executives can designate secretaries to screen on their behalf, and screening can be disabled for known phonebook contacts. A later update added handling that can prioritise calls flagged as urgent.
- Who it is for: individual managers and executives who need their calls filtered.
- Job: personal call screening and message capture.
- Status: core screening is GA since V20 Update 8 (Final).
AI Customer Service Agent — first-line support automation (Update 10 Alpha)
Release status: As of August 2026, the 3CX AI Customer Service Agent is released by 3CX as part of V20 Update 10 — Alpha only, for testing and evaluation, not for production. The current stable line remains V20 Update 9 (Final). Once stable, the AI Customer Service Agent automates first-line (L0/L1) support. It answers routine questions from configured Knowledge Sources — FAQs, policies, product guides and troubleshooting steps — attempts to resolve the issue first, and escalates or transfers to a human when it cannot resolve, when the caller asks for a person, or when specialist support is needed. - Your own OpenAI API key (bring-your-own-key): the conversational agents are powered by OpenAI, so you connect your own funded OpenAI account. The LLM usage is billed by OpenAI, not bundled free with 3CX. This is configured from the Admin Console.
Editions and licensing are per simultaneous call under 3CX’s current policy, with generous extension allowances per SC — there is no per-user licensing. Final licensing is confirmed per project during solution design.
Knowledge Sources — how the agents answer accurately
Knowledge Sources are the company-specific data you give the AI Agents so they answer correctly during calls. They can hold FAQs, policies, product notes and guides, troubleshooting steps and general guidance, and they are built and assigned to agents from the Admin Console. The recommended best practice is to split your data by topic rather than by size, so each source has a single clear purpose. Knowledge Sources are GA and feed all of the AI Agents.

- Choose the AI Receptionist when your goal is to answer every inbound call instantly, cut hold times and route callers to the right team — the classic front-desk problem.
- Choose the AI Personal Assistant when a specific executive or manager needs their own calls screened, spam blocked and messages captured, without tying up a human secretary.
